CANDIDATE INTERFACE FILE#
The Candidate Interface File screen is used to import candidate records into the software data structures.
Candidate Interface File data is maintained on the INF_CV_CANDIDATES table.

- Salutation
- This field identifies the title of the candidate.
- First Name
- This field provides the first name of the candidate. If this candidate is to be hired, the field MUST be completed.
- Middle Name
- This field provides the middle name of the candidate.
- Last Name
- This field provides the last name of the candidate. If this candidate is to be hired, the field MUST be completed.
- Rank
- This field shows any name extension (i.e. Jr., Sr., III etc.) the candidate may have.
- Person Code
- This field identifies an internal employee as a candidate. Once this field has been filled, the previous fields (Salutation, First Name, etc.) and the Address and Phone fields will automatically fill.
- Status
- This field will indicate the status of candidate within the recruiting process.
- Source
- This field will indicate the source where the candidate was drawn from.
- Type
- This field will indicate whether the candidate is an internal or external applicant.
- Category
- This field allows you to group the candidate into a specific group.
The information for the ‘Address’ and ‘Phone’ sections will automatically default in from IEHR if the candidate is already an employee.
- Address 1
- This field provides initial information for the candidate’s address, such as street number.
- Address 2
- This field provides additional address information such as the PO box number or suite number.
- City
- This field refers to the city, district or township for the candidate’s address.
- State/Province
- This field displays the state or province description with the applicable country concatenated at the end. If this candidate is to be hired, the field MUST be completed.
- Zip/Postal
- This field holds the zip or postal code for the address.
- Phone #
- ‘Phone Number’ is the main phone number for the candidate.
- Phone Extn
- This field displays the extension (if any) for the candidate.
- Alt Phone #
- This field displays an alternate phone number for the candidate.
- Email Address
- This field shows the email address or domain name for the candidate.
- Cellular #
- This field holds the candidate’s mobile phone number.
- Fax Number
- This field holds the fax number for the candidate.

- This field allows you to provide any additional information about the candidate.
- Objectives
- This field allows you to record the candidate’s career objectives.

- This field allows you to define how to contact the candidate.

Background#
- Country of Origin
- This field displays the candidate’s country of origin.
- Gov't Code
- This field displays the contact's government identification number. If this candidate is to be hired, the field MUST be completed.
- Gov't Code Verified
- If this toggle is ON, the government code has been verified as a legitimate code for that individual.
- Gender
- This field will display the gender of the candidate. If this candidate is to be hired, the field MUST be completed.
- Date of Birth
- This field will display the birth date of the candidate. If this candidate is to be hired, the field MUST be completed.
- Age
- This field displays the age of the candidate. Age will automatically fill once the Birth Date field has been completed.
- Birthplace
- This field displays where the candidate was born.
- Foreign Code
- This field shows any foreign registration codes for an employee.
- Transportation
- This field shows the candidate’s main means of transportation.
- Drivers License
- If the candidate has a driver’s license, this field will display the license number.
Demographics#
- Yrs Education
- This field will indicate the years of formal education the candidate has had.
- Marital Status
- This field will indicate the marital status of the candidate.
- Dependents
- This field will display the number of the dependents the candidate has.
- Language
- This field will indicate the candidate’s main language of communication. English will default. If this candidate is to be hired, the field MUST be completed.
- Ethnic
- This field allows you to record the candidate’s ethnic background. If this candidate is to be hired, the field MUST be completed.
- Citizen Status
- This field will display the citizen status of the candidate.
- Bonded
- This field will indicate if the candidate is bonded.
- Challenged
- If the candidate is physically challenged, this field allows you to indicate as such.
- Veteran Status
- If the candidate is a veteran, you may indicate as such in this field.
Employer#
If the external candidate is currently employed, the information about the employer may be recorded in this section.
- Employer
- This field will display the name of the candidate’s current employer.
- Title
- This field will display the candidate’s title at their current employment.
- Appl. Start
- This field will indicate the first date the application is open.
- Appl. End
- This field will indicate the last date the application is open.
- Date Avail.
- This field will indicate the date the candidate is available to begin a new job.
- Recruiter
- This field will display the recruiter used for this candidate.
- Ext. ID
- If an external ID number has been assigned to this candidate, that number will be displayed in this field.
- Web Address
- If there is a web address associated with this candidate, that web address would be displayed here.
Applications tab#
The definition data for the Applications screen is stored in the
P2K_RE_APPLICATIONS table.
- Posting
- This field indicates the posting the candidate has applied for.
- Posting Title
- This field will display the descriptive title of the posting. Posting_Title will default in once the posting field has been filled. Users may NOT edit this information in this screen; it can only be changed through the IRPO screen.
- Application
- This field will be displayed the assigned number for the application. Application will be automatically assigned a number.
- Application Status
- This field displays the current status of the application.
- Application Stage
- This field allows you to define the exact stage in the process for this application.
- Opened
- This field indicates the date the application was applied to the posting.
- Closed
- This field indicates the date the application was closed with regards to the posting.
- Rating
- This field displays the rating this application received for the posting.
- Entity
- This field identifies the entity associated to this posting.
- Stage Description
- This field indicates the current stage in the recruiting process for this posting.
- Offered
- If the candidate is selected for this posting, this field displays the date the job was offered to the applicant.
- Response
- This field indicates the date the candidate responded to the job offer.
- Response Indication
- This field will display the status of the response from the candidate.
- Rejection Reason
- This field provides the reason for the candidate being rejected for the posting.
- Decline Reason
- This field provides a reason why the candidate declined the job offer.
- Assignment to Replace
- If the candidate to be hired has another assignment in the entity, that assignment is identified in this field.
The following fields will usually be automatically filled, however, the values may be changed in this screen.
- Assignment Title
- This field provides the title of the assignment this posting is recruiting for.
- Assignment Start Date
- If the assignment is date sensitive, the first date of the assignment will be indicated in this field.
- Assignment End Date
- If the assignment is date sensitive, the last date of the assignment will be indicated in this field.
- Hours Per Day
- This field shows the average daily hours associated with this assignment.
- Hours Per Week
- This field shows the average daily hours associated with this assignment.
- FTE
- This field will show the full time equivalent associated with this assignment.
- Scale/Step
- This field displays the wage scale for this assignment.
- Wage Rate
- This field displays the wage rate for this assignment.
- Basis
- This field displays the basis in which the wage rate is expressed.
- Scale Overridden
- If the toggle is ON, the displayed wage rate has been keyed manually, and is different from the rate on the wage scale table. If the toggle is OFF, either the wage rate has been derived from the wage scale table or wage scale tables are not being used.
- Details
- This field allows you to provide additional information about the application.
Qualifications tab#
The definition data for the Qualifications screen is stored in the
P2K_RE_QUALIFICATIONS table.
- Type
- This field allows you to group the qualification into a specific type.
- Subtype
- This field will indicate if the qualification belongs to a subtype of qualification.
- Status
- This field will display the status of the qualification.
- Description
- This field provides a short description of the qualification.
- Category
- This field allows you to further classify the qualification into specific categories.
- Name
- This field allows you to name the qualification.
- Reference
- This field allows you to reference the qualification. For example, if the qualification is a certificate that is issued through a professional organization, that professional organization may be listed here.
- Start Date
- If the qualification is applied to this candidate for only a specific time period (e.g. a first aid certificate that has to be renewed each year), the first date of the time period is indicated here.
- End Date
- If the qualification is applied to this candidate for only a specific time period, the last date of the time period is indicated here.
- Date Confirmed
- This field shows the date the qualification was confirmed for this candidate.
- Confirmed By
- This field indicates who confirmed the qualification for this candidate.
- Confirmed Status
- This field will indicate the status of the confirmation of the candidate’s qualification.
- Interest Level
- This field will show the candidate’s interest level in this qualification
- Proficiency
- The level of expertise the candidate has attained in the qualification will be indicated here.
- Years Experience
- This field indicates the number of years of experience the candidate has for this qualification.
- Year Last Used
- This field indicates the number of years since the candidate last used the qualification.
- Text
- This field allows you to provide additional information about the qualification for this candidate.
Costs tab#
This screen allows you to record any costs associated to the recruitment process in regards to this candidate. The definition data for the Costs screen is stored in the
P2K_RE_RECRUITING_COSTS table.
- Cost Date
- This field will show the date the recruiting cost was incurred.
- Cost Item Category
- This field allows you to group the cost into a specific category.
- Cost Amount
- This field displays the actual amount of the cost incurred.
- Description
- This field holds a short description of the cost incurred.
- Employer %
- This field will indicate the percentage of the cost that will be covered by the employer.
- Cost Reference
- This field allows you to record a short reference for this cost, for example, an invoice number.
- Payment Method
- This field will show the manner in which this item was paid for.
- Payment Status
- This field will show the status of the payment for this cost item.
- Posting
- If this cost is associated with a specific posting, that posting may be identified in this field.
- Recruiter
- If the cost is related to a specific recruiter, that recruiter may be identified in this field.
Recruiting Log tab#
This tab allows you to track the recruiting activities associated with this candidate. The definition data for the Recruiting Log tab is stored in the
P2K_RE_RECRUITING_LOGS table.
- Date/Time
- This field displays the day and time of the recruiting log.
- Type
- This field identifies the nature of the recruitment log.
- Category
- This field allows you to further classify the recruiting log into specific groups.
- Posting
- This field displays the posting associated with this recruiting log.
- Recruiter
- This field displays the recruiter associated with this recruiting log.
- Entered For
- This field allows you to indicate for whom or what (position, job profile, candidate) this log is entered.
- Description
- This field allows you to provide a short description of the recruiting log.
- Log Text
- This field provides additional information about the recruiting log.
Education tab#
This screen allows you to make a record of the candidate’s formal education. The definition data for the Education tab is stored in the
P2K_RE_EDUCATIONS table.
- Education Type
- This field allows you to classify the education being recorded into specific types.
- Description
- This field allows you to provide a short description of the education being recorded.
- Education Status
- This field displays the status of the education being recorded.
- School Name
- This field indicates the school associated with the education defined.
- Faculty
- This field indicates the school faculty associated with the education defined.
- City
- This field displays the location of the school.
- State/Prov.
- This field defines the state or province of the school.
- Start Month
- This field indicates the date the course of education was begun.
- End Month
- This field indicates the date the course of education was completed.
- Major
- This field will display the major area of study for the education defined, for example, English, Russian Studies, or Accounting.
- Minor
- This field will display the minor area of study for the education defined.
- Degree
- This field will display the degree attained, if applicable, for this course of education.
- GPA Attained
- This field displays the Grade Percent Average (GPA) the candidate achieved for this education.
- GPA Maximum
- This field provides the highest Grade Percent Average (GPA) attainable for this education.
- Verified On
- This is a date field used to indicate what date the candidate's education was verified.
- Verified Status
- This is an optional field used to indicate if the candidate's education has been verified.
- Text
- This field allows you to provide additional information about the education for this candidate.
References tab#
This screen allows you to make a record references and reference contacts the candidate has submitted.
- Contact Name
- This field displays the name of the individual providing the reference.
- Type
- This field allows you to classify the references into specific types.
- Status
- This field will display the current status of the reference provided.
- Contacted
- This field will display the date the individual who gave the reference was contacted.
- Contact Title
- This field displays the reference’s title within their company.
- Company Name
- This field displays the company name where the reference is employed.
- Address 1
- This field displays the address of the company.
- Address 2
- This field provides further address information for the company.
- City
- This field displays the city or town for the company’s address.
- State/Prov.
- This field displays the state or province description with the applicable country concatenated at the end.
- Zip Postal
- This field holds the zip or postal code for the address.
- Phone #
- ‘Phone Number’ is the main phone number for the reference.

- Available to Contact
- This is an optional toggle used to indicate if the candidate's referral is available to contact.
- Text
- This field provides the user the ability to add additional information regarding the reference.
Work History tab#
- Start Date
- This field is used to display the start date the candidate began working in their previous assignment.
- End Date
- This field is used to display the end date of the candidate working in their previous assignment.
- Company Name
- This field displays the company name where the reference is employed.
- Status
- This is an optional field used to indicate if the candidate's work history has been verified.
- Verified
- This is a date field used to indicate what date the candidate's work history was verified.
- Cont. Name
- This field displays the name of the individual providing the reference.
- Cont. Title
- This field displays the reference’s title within their company.
- Address 1
- This field displays the address of the company.
- Address 2
- This field provides further address information for the company.
- City
- This field displays the city or town for the company’s address.
- State
- This field displays the state or province description with the applicable country concatenated at the end.
- Postal Code
- This field holds the zip or postal code for the address.
- Phone #
- Phone Number is the main phone number for the reference.
- Extn.
- This field displays the extension (if any) for the reference.
- Alt. Phone #
- This field displays an alternate phone number for the reference.
- Alt. Extn.
- This is the extension (if any) for the alternate phone number.
- Fax #
- This field provides a fax number for the candidate's reference.
- E-Mail
- This field shows the email address or domain name for the candidate's reference.
- Lang.Code
- This field will indicate the reference’s main language of communication. English will default.
- Industry
- This field holds the six-digit industry codes for NAICS (North American Industry Code Standard) for the company.
- Company Size
- This field will indicate the number of people working for the company.
- Emp. Type
- This field will identify the specific type of employment the candidate had with the company.
- Group Type
- This field allows you to further define the type of employment the candidate had with the company
- Job Category
- This field allows you to define the type of job associated with this employment.
- Job Title
- This field shows the title the candidate held in the company defined.
- Resp. Level
- This field indicates the level of responsibility the candidate had at the company.
- Hours/Day
- This field shows the average daily hours associated with this assignment.
- Hours/Week
- This field shows the average weekly hours associated with this assignment.
- Wage Rate
- This field will show the wage rate for this assignment.
- Rate Basis
- This field shows the rate basis that the wage is expressed in.
- Rsn Leaving
- This field will show the reason the candidate left the assignment.
- Text
- This field allows you to provide additional information about the past employment.
Resumes tab#
This screen allows you to make a record of the candidate’s resume. The definition data for the Resume tab is stored in the
P2K_RE_RESUMES table.
- Received
- This field displays the date the resume was received from the candidate.
- Source
- This field will indicate the source of the resume.
- File Name (on server FS)
- This field is used to locate the file on the server to upload the file.
- Format
- This field identifies the format in which the resume was received.
- Location / Comments
- This field may be used to add additional comments on the location of the resume.
- Last Revised
- This field will display the date the resume was last updated.
Assessments tab#
This screen allows you to create a log of the candidate’s
assessment events. Any assessment events that the candidate is scheduled for or has taken will be recorded here. The definition data for the
Assessments tab is stored in the
P2K_RE_ASSESSMENTS and
P2K_RE_ASSESSMENT_EVENTS tables.
- Date/Time
- This field indicates the date/time of the assessment.
- Assessments
- This field defines the exact assessment the candidate will be taking.
- Description
- This field provides a short description of the assessment. This field will automatically default in from IRAS once the ‘Assessment’ field has been filled. You CANNOT edit the information in this screen.
- Status
- This field will display the current status of the assessment events.
- Location
- This field will indicate where the assessment is to take place.
- Conducted By
- This field will display the name of the individual conducting the assessment.
- Contact
- If there is a contact person for this assessment events, that individual may be indicated here.
- Rating
- This field displays the rating the candidate received for this assessment.
- Points
- This field allows you to record the points the candidate obtained in this assessment.
- Type
- This field groups this the assessment into a specific type. This field will automatically default in from IRAS once the ‘Assessment’ field has been filled. Users CANNOT edit the information in this screen.
- Category
- This field further classifies the assessment into specific groups. This field will automatically default in from IRAS once the ‘Assessment’ field has been filled. Users CANNOT edit the information in this screen.
- Desired Pts
- This field will display the desired points the candidate must obtain for this assessment. This field will automatically default in from IRAS once the ‘Assessment’ field has been filled. Users CANNOT edit the information in this screen.
- Essential Pts
- This field will display the points the candidate must obtain to pass this assessment. This field will automatically default in from IRAS once the ‘Assessment’ field has been filled. Users CANNOT edit the information in this screen.
Self Service Access tab#
This tab is used to grant the Candidate access to Self Service.
- Candidate #
- This field provides a code to identify the candidate.
- First Name
- This field is used to provide the legal first name of the individual. If this is used when hiring an individual the field MUST be completed.
- Last Name
- This field is used to provide the legal surname name of the individual. If this is used when hiring an individual the field MUST be completed.
- Password Change By
- This filed will indicate the user who last changed the candidate’s password.
- Password Change On
- This field will display the date the password was last changed.
- Access Key
- This is used as a login method, instead of providing a user name users may provide an access key. When the site preference 'SS LOGIN TYPE' is set to ‘ACCESSOR KEY’, the Access Key login page (Access Key/PIN) will be used. This field is a 30-character field and is not case sensitive.
- Access Start Date
- This field indicates the first day the candidate may access Self Service.
- Access End Date
- This field indicates the last day that the candidate may access Self Service.
- Force Password Change On Next Login
- If this toggle is on, the candidate will need to change their password the next time they log into Self Service.
- Last Good Access
- This field indicates the last date the candidate successfully logged into the system.
- Logins to Date
- This field shows the number of successful logins the candidate has made.
- Set/Reset Password
- Clicking this button will set or reset the candidate’s password.
- Reactivate
- This button is used to re-activate a user's access to the application if their previous access was locked out or is in a pending state.
- Access Status
- This field displays the candidate’s access status.
- Failed Attempts
- This field displays the number of unsuccessful logins the candidates have made.
- Password Set
- If this toggle is on, the candidate’s password is set.
