Process Flow of Clocking#

  1. The UEGTS (Generate Time Sheets) function will be run at the start of each pay period to generate empty time sheets for each active employee
    • This function is designed to be re-runnable.
    • If re-run, then any structural changes (changing departments / positions; new hires, etc.) will be considered for any time sheets that have not been already filled in with actual time.
    • The UTTP is used to generate shifts from the Time Scheduling module.
  2. Employees may create clock punches through WPCIO (Public Kiosk), or Managers may clock in their employees through WMTCI (Self Service Clock IN/OUT) or Administrators may create clock punches in the Professional application through DTDP or DTCP.
  3. Clock Punches from an external source may be loaded into the application by running the LTCE function.
    • If an employee punches in for a scheduled job and then punches in again for a different job without punching out in between the system will automatically create an 'out' punch for the first job as it is considered a costing change.
    • If an employee punches in for a non-scheduled job and then punches in again for a different job (whether it is scheduled or not) without punching out in between the system will not create an out punch.
  4. Clock punches are processed into Time Exceptions as determined by the entry source:
    • The UTCIO is an update process designed to process clock entries into time exceptions.
    • When the WPCIO is used for clocking employees in and out, the entries are processed when the employee uses the ‘submit’ icon. A clock entry is created when the employee uses the ‘clock in’ or the ‘clock out’ icon, however it remains in the ‘generated’ status until the employee uses the ‘submit’ button. NOTE: If a user does not "SUBMIT" the clock punch for what ever reason, a "generated" clock entry is left. This clock entry is NOT eligible for processing. This type of clock entry record is merely a place holder for the MTCI and MTCO dialogs. These entries should be ignored. Once the user "SUBMITS" the clock punch, it then becomes "NEW ENTERED" and will then be processed automatically and given a new status of "PROCESSED". Processed clock entries will be visible in ITCE (Daily Pairing Information tab) and in IPTS (clock entries tab)
    • With the G1 or G2 interface the clock entries will be processed immediately.
  5. Missing Clock punches are available to be viewed by the employee (WETMCP), the Manager (WMTMCP), an Administrator WATMCP or a Scheduler WSTMCP in Self Service. A user of the Professional application may see missing clock punches in DTMCP. The page Missing Clock Punches provides more information on how missing punches are handled.
  6. Administrators may approve/authorize/verify clock punches through WVTAPC.
  7. The IPTS and WxTTS screens (Time Sheets) may be used to update/audit the time sheets.
    • Tab to view the clock punches that make up the time sheet
    • The TS screens are where any changes to the time sheet would be made.
    • All the Time Rules are invoked through this screen
  8. The UPCTS function will be run to bring approved time sheets into Payroll
    • Time sheets may or may not approved to be brought into Payroll
