TIME SHEET WORK RULES
Back to current versionRestore this version

Work Rules are used to determine the standard processing information that is required in order to create Time Sheets (shifts with In/Out times) or Time Cards (hours).

Work Rules control how the Generate Employee Time Sheet (UEGTS) program will create time sheets or time cards. Time is generated based on how the Work Rule and Work Calendar screens are setup. In order for UEGTS to work correctly a Work Calendar MUST be associated to the Work Rule and a Work Rule MUST be associated to the employee’s assignment.

How Are Hours Generated?#

It is important to understand where the hours that are generated on employee's time sheet originate.

If hours are indicated on the work calendar (IDWC), then the system will use these hours and override the standard hours per day from the employee's work assignment (IEAS).

If no hours are indicated on the work calendar, then the system will use the standard hours per day value from the employee's work assignment (IEAS).

If no hours are indicated in the standard hours per day field on the employee's work assignment, then the system will use the standard hours per day value indicated on the employee's work rule.

Which Time Code Will Be Used?#

Time is generated against a time code. This section identifies which time code will be used to generate the time against. Three different time code types may be generated into an employees Time Sheet/Card:
Leave
Time Codes for Leaves come from the Leave Lines (IAAL); if no time or time code is indicated no leaves are generated.
Holiday
Holiday Time Codes come from the Holiday Calendar (IDHC); if no time code is indicated the no Holiday Time is generated.
Regular
Regular Time Codes are obtained in the following way....

Where Will The Time Be Generated?#

Based on the Time Gen. Destination field on the Status Rules tab of the Work Rule (IDWR) that is associated to the employee’s assignment (IEAS) blank or “PR - Calendar”

Used by UPTG generation to generate hours into pay transactions accessed thru IPTR.

“TS - Shift Pattern”
Used by UEGTS to generate shifts and from/to time, as set up in the TS module, into Time Sheets (WxTTS)
“TS - Event Sched”
Used by UEGTS to generate shifts and from/to time, as set up in the TS module Event Scheduling, into Time Sheets (WxTTS)
“TM - Shift Calendar”
Used by UEGTS to generate shifts and from/to time, as set up in the Work Calendar/Work Rule, into Time Sheets (WxTTS)
“TM - Hours Calendar”
Used by UEGTS to generate hours, as set up in the Work Calendar/Work Rule/Assignment, into Time Cards (WxPTS)

Work Rules With Standard Hours#

Overview#

The following setup is required if:

Set Up#

Work Calendars

Work Calendars (IDWC) allow specific work schedules or contract periods to be created. The work calendar must be setup as follows:

  1. The Time Code field should contain the time code that the time is to be generated against.
  2. The Assigned To field should be BLANK.
  3. The Hours Per Pay field is optional. If completed, the number of hours indicated would be entered against the time code provided. If this field is blank, the system will use the ‘Hours Per Day’ value from the employee’s assignment

Time Codes

Time Codes are user-friendly data entry codes that are used to link applications such as the attendance, time-entry, work and time scheduling and contracting processing to payroll.

Work Rules

Work Rules are used to determine the standard processing information required to create pay headers and payroll transactions for an employee.

The Work Rules (IDWR) screen should be set up after setting up the Work Calendar and Time Codes screens.

The work rule must be set up as follows:

  1. On the Details tab a work calendar must be attached
  2. On the Status Rules Tab

This MUST be done for each Employment Status required (e.g. ACTIVE)

Work Rules With Shifts#

Overview#

The following set up should be followed, if:

Set Up#

Shifts

A Shift describes the time period within a day during which work is performed.

Work Calendars

Work Calendars (IDWC) allow specific work schedules or contract periods to be created.

The work calendar must be set up as follows:

  1. The Time Code field should contain the time code that the time is to be generated against.
  2. The Assigned To field must contain a shift code which will be the shift that details will be generated and viewed in ITSH. In addition, time sheet entries containing the shift information can be viewed in WxTTS.
  3. The Hours Per Pay field should be left blank, as hours are not required for time sheet generation with shifts.

Time Codes

Time Codes are user-friendly data entry codes that are used to link applications such as the attendance, time-entry, work and time scheduling and contracting processing to payroll.

The time code must be set up as follows:

  1. The Adjust Scheduled Time toggle must be checked for any time that will reduce regular time. This is similar to the setup for running UPTG.

Work Rules

Work Rules are used to determine the standard processing information that is required in order to create pay headers and payroll transactions for an employee.

The Work Rules (IDWR) screen should be set up after setting up the Work Calendar and Time Codes screens.

The work rule must be set up as follows:

  1. On the Details tab
    • a work calendar must be attached e.g. MON - FRI REG SHFT
  2. On the Status Rules tab
    • The Time Gen. Destination must be set to “TM - Shift”
    • the Generate Headers toggle must be checked ON
    • the Generate Details toggle must be checked ON
    • the Time Generation Rule must be set to 'By Day With Time'

This MUST be done for each Employment Status required (e.g. ACTIVE)
