MAINTAIN WORKER INFORMATION#
Worker Information provides information such as when employees are pre-authorized for specific jobs in specific departments or when an employee has a work restriction such as “will not work on Saturday”.
- Job authorizations can be categorized and ranked
- Work restrictions can be total or partial - “will not” or “prefers not to”
- Work restrictions can be placed on hours, days or shifts
- Job Authorizations and Work Restrictions are entered on the same screen. It is not necessary to fill in the Work Restrictions area when entering a job authorization, and vice versa.
- Person Code
- This field shows the unique code or number assigned to this employee by the organization. Person_Code from P2K_HR_IDENTITIES is a 10-character alphanumeric mandatory field.
- Work Division
- A subdivision of an operational entity in a physical location such as a plant, factory, mill, store, restaurant, theater, casino, police force, fire service, treatment plant, hospital, school or campus, overseen by a manager or director of operations. A work division is generally subdivided into a number of work areas where work is performed. This field is a user-defined code that uniquely identifies the work division, a subdivision within an entity. Work_Division_Code from P2K_TS_WORK_DIVISIONS is a 16-character alphanumeric optional field you may either manually enter or select a value from the LOV(F9) provided.
- Seniority Date
- This field shows the date that the employee will gain seniority in this assignment. Seniority_Date is an optional date you may manually enter or select a value from the calendar (F9).
- Seniority Sequence
- The order that the data must be displayed or processed Seniority_Sequence is a 5-character numeric optional field you may manually enter.
Worker Preferences and Availability tab#
Availability#
- Worker Availability
- This field indicates whether the Worker is available to be scheduled. Worker_Availability is an optional field which you may fill from the fixed lexicon X_WORKER_AVAILABILITY.
- Selected Shift
- This field indicates the employees selected shift they will be available to be scheduled into. Selected_Shift from P2K_TS_SHIFTS is a 10-character alphanumeric optional field you may either manually enter or select a value from the LOV(F9) provided.
- Selected Work Area
- This field indicates the selected Work Area for this employee. Selected_Work_Area from P2K_TS_WORK_AREAS is a 10-character alphanumeric optional field you may either manually enter or select a value from the LOV(F9) provided.
- 1st Pref Day Off
- This field indicates the 1st preferred day off for this employee. e.g. Monday, Tuesday, Weekdays, Weekends, etc. Day_Of_Week_Off_1 is an optional field which you may fill from the fixed lexicon X_DAY_OF_WEEK.
- 2nd Pref Day Off
- This field indicates the 2nd preferred day off for this employee. Day_Of_Week_Off_2 is an optional field which you may fill from the fixed lexicon X_DAY_OF_WEEK.
- 3rd Pref Day Off
- This field indicates the 2rd preferred day off for this employee. Day_Of_Week_Off_3 is an optional field which you may fill from the fixed lexicon X_DAY_OF_WEEK.
- # of Shifts per Week
- Records the number of shifts this employee will work in a week. This is an optional numeric field. Desired_Shifts_Per_Week
- Selected Shift Bids
- These fields shows the specific shifts the employees is scheduled for based on day of the week. These fields are used by the UTBPR program to schedule an employee into a specific shift on a specific day of the week. 16-character alphanumeric codes field the user must manually enter or use the LOV from P2K_TS_SHIFTS.
The assignment information for this area is defaulted in from P2K_HR_ASSIGNMENTS. This information is updated each time the UTBWO program is run.
This data is for viewing only and the user will not be able to edit the fields.
- Status
- The employee's assignment status displays in this field.
- Job
- This field shows the job that the employee is hired to perform
- Unit
- This field shows the job that the employee is hired to perform
- Department
- This is the department to which the employee is assigned.
- Work Rule
- This field displays the work rule code defined on the employee's assignment.
- O/R Work Calendar
- This field displays a work calendar if one has been provided on the assignment to override the work calendar defined on the work rule.
Work Areas tab#
A worker can be restricted to specific Work Areas.
- Work Area
- The worker is restricted to the work area defined in this field. Work_Area_Code from P2K_TS_WORK_AREAS is a 16-character alphanumeric optional field you may either manually enter or select a value from the LOV(F9) provided.
- Work Station
- The worker is assigned to the work station listed in this field. Work_Station_Code from P2K_TS_WORK_STATIONS is a 16-character alphanumeric optional field you may either manually enter or select a value from the LOV(F9) provided.
Authorized For tab#
Workers can be authorized to work in different jobs and departments than those indicated on their assignments. This tab will allow to make those authorizations.
- Job
- If the worker is authorized for a specific job outside of their assignment, that job will be indicated in this field. Job_Code from P2K_CM_JOBS is a 16-character alphanumeric optional field you may either manually enter or select a value from the LOV(F9) provided.
- Department
- If the worker is authorized for a specific department outside of their assignment, that job will be indicated in this field. Department_Code from P2K_CM_DEPARTMENTS is a 16-character alphanumeric optional field you may either manually enter or select a value from the LOV(F9) provided.
- Authorization Type
- This field categorizes the authorization into a specific type. Authorization_Type is an optional field which you may fill from the fixed lexicon X_AUTHORIZATION_TYPE.
- Start /End Dates
- If the authorization is only for a temporary time period, a Start and End Date may be defined. Start_Date and End_Date are optional date fields you may manually enter or select a value from the calendar (F9).
Restrictions tab#
The Restrictions tab (
P2K_TS_WORK_RESTRICTIONS) allows you to indicate the worker’s preference on when they are available to work.
- Type
- This field will identify the worker’s restriction preference. Restriction_Type is an optional field which you may fill from the fixed lexicon X_RESTRICTION_TYPE.
- Start / End Date
- This field identifies the date the restriction is in effect.
- Hrs. Per Week
- If the restriction states that the worker will work for a certain amount of hours a day, those hours will be identified here.
- No Earlier / No Later
- If the worker is not able to work before or past a certain time, that time will be identified in this field.
- Not Available
- If the worker is not available to work on a specific day of the week, that day will be identified in this field
- Shift
- If the restriction is associated with a specific shift, that shift is identified in this field.
Call Logs tab#
If calls are logged in the time entry screens the details may be viewed here.
- Call Placed On
- This field displays the date the call to the employee took place.
- Time of Call
- This field displays the time the call took place.
- Call Status
- The status of the call will be displayed in this field. Call_Status is tied to the fixed lexicon X_CALL_STATUS.
- Call Result
- This field displays the result of the call, ie:if the employee accepts work, declines work or calls in.
- Off from date
- Off from time
- Description
- Call Placed by
- This displays who made the call to the employee.
Owns Team Posts tab#
If a worker specifically owns a team post it will be displayed here.
- Effective
- Expires
- Team Post Information
- Work Team
Qualified For tab#
Based on all of the previous information this tab will display which work stations this worker is qualified to fill.
