PRINT EMPLOYMENT EQUITY#

The Print Employment Equity (UEEE) report will produce a report and a series of files for submission to the Canadian government in support of the Employment Equity Computerized Reporting System EECRS.

Set Up Required#

This report uses Census Metropolitan Area (CMA) codes to identify locations for reporting employment equity statistics. These codes are defined in the user-defined lexicon X_CMA_CODES and are then associated to each location in the IDLN screen.

Although the codes are specified by the federal government, you only need to set up those codes in the lexicon that you will actually use.

Each location in your organization must be assigned to the appropriate CMA.

Other fields that require set up are:

  • ETHNIC IEID - CDN-Aboriginal and CDN-Visible Minority
  • CHALLENGED IEID) - CDN w Disabilities
  • OCCUPATION CODE IDPS or IDJB - Occupation codes, defined on IDOC, must be assigned to positions or jobs that the employees are assigned to.
  • INDUSTRY CODE IDDP or IDEN - Industry Code, defined in IDIN, must be assigned to the departments, or the entity, that the employee is assigned to.

When you will run the report, if some of data is not correct, you will receive an error message on your report. The report will show for each individual, their person code, first name, last name and listed below that will be an error message for any set up that is missing, or incorrect.

Report Parameters
EntityMandatory, LOV Available
This field limits the report to one entity.
As Of DateDate, LOV Available
The date that employee data will be derived "as of".
File DirectoryText, Mandatory, Manual
This field defines the location of the three files necessary for import into EECRS (employee.txt, term.txt, promo.txt).
Note that this directory is data base server-centric (i.e. the data base server process must be able to write to this directory)
Regular EarningsMandatory, LOV Available
This field allows the user to choose the appropriate element for regular earnings, used to calculate the salary.
Additional EarningsMandatory, LOV Available
This field allows the user to choose the appropriate element for additional earnings, used to calculate the salary.

Processing Executed#

Three files will be generated in the format specified by the federal government EECRS program:

EMPLOYEE.TXT#

  • The employee's identification information will be extracted from the Identities table.
  • The rest of the information will be drawn from the last assignment details of the prime assignment for the last employment of the reporting year. All information will be from the last valid information in a reporting year.
  • Salary will contain the annual salary as a default and the actual salary if the Group type is not Full Time or Part Time or the Group type is changed during the year or the Employment Status is changed during the year
  • Employee Group Type (as noted in IDGR) is mapped to the appropriate group types for the EECRS file:

TERM.TXT#

  • This file will be created only for those employees who, as of the end of the reporting year, will be in the following group type: Temporary (Temp Full Time / Temp Part Time) and Other (Other / Students / Contractor / Retiree / COBRA / Survivor) *Employment Equity.
  • The Employment Equity application does not allow 'Null' values for the End Date field. If there is no specific end date, the 'As of Date' (typically the end of the year) in UEEE will be used.
  • A 'Null' value for Hire Date and Termination Date will be used for employee.txt, otherwise, you will not be able to import the file in Employment Equity application.

PROMO.TXT#

This file will be create only for those employees who:
  • as of the end of the reporting year will be in the following group type: Full Time and Part Time (defined in Employment Equity) for their last employment in that year;
  • and whose position or job code was changed during the reporting year.
