Preparation#

  1. Navigate to WebEx Training or Meeting Centre
  2. Click Schedule Training or Schedule Meeting link
  3. Click the Advanced Scheduler Link
  4. Fill in these fields:
    • Required Information:
      • Meeting Topic
      • Set Session Password (if desired)
    • Date & Time
      • Attendees can join [15] minutes before the start time
      • Uncheck "The first attendee to join will be the presenter"
    • Audio Conference
      • Conference type: WebEx Audio
      • Entry and exit tone: No Tone
    • Invite Attendees
      • [X] Send a copy of the attendee invitation to me
    • Registration
      • Do not fill anything in here
    • Agenda & Welcome
      • You can fill in agenda if you want, but it is not necessary
    • Meeting Options
      • Leave Chat checked, but uncheck everything else
    • Attendee Privileges
      • Turn everything off except
      • [X] View Participant List
      • [X] Participate in private chat with Host
  5. Click Schedule Meeting
  6. Do not click Start at this time
  7. Copy the email you receive forward to all the participants you want to invite (in the BCC field)

On session day#

  1. IMPORTANT Start the session 30 minutes before start time. This gives you time to get everything in order. You don't have to call in until a few minutes to the start time.
  2. Select Participant --> Mute on Entry
  3. Select Participant --> Assign Privileges
    • Uncheck [X] Participant can chat publicly with Everyone

Don't call in until five minutes before the session starts otherwise you will be the only person on the call

If others are including in the presenting, when they join the WebEx, change their role to Panelist

If others are going to present, change their role to Presenter as needed
