WORKFLOW EMAIL WITH OUTLOOK/CALENDAR INTEGRATION#

Workflows can be setup to automatically send an email to an employee when a Leave has been approved or a Class Registration has been approved. Along with this email, an ICS will be attached (link for Outlook/Calendar integration).


Features#

  1. Can be applied to both Leave Approvals and Class Registrations
  2. Emails will be sent to the employee’s Email Address on the Assignment if it exists, otherwise it will be sent to the employee’s Email Address on the Personal file
  3. Emails with an ICS attached will be sent allowing employees to update their Outlook/Calendar

Setup#

  1. On the Define Workflow Actions form IMWA, define a WF action for Leave Line (WF_AAL) or a Class Registration (WF_CRSE) with the following values
    - Action = ADD_AAL_TO_CAL for Leave Lines or ADD_CRSE_TO_CAL for Class Registrations
    - Triggered in Product = WF_AAL or WF_CRSE
    - Action Directed to = 'Current Identity' for Leave Lines or 'Candidate' for Class Registration
    - An event media (TYPE) = ‘Calendar Event’

  2. Check that the email address is on the IEAS, if not, it will use the email from the IEPI
