!!!FLSA ADJUST
!!Time Rule Overview

The purpose of this time rule is to ensure that when time is brought into payroll, the correct adjustments are made so that the time is allocated to the appropriate [FLSA] period. This was originally designed for employees that work a 9/80 calendar period and the [FLSA] period ends on a specific day.

In order to use this time rule there is set up required.
*Create a [pay component|PAY COMPONENTS] called ‘FLSA Adjust Hrs’. This PC will be used to track the Hours of the [FLSA] Adjustment.
*Create a [pay component|PAY COMPONENTS] called ‘FLSA Adjust Earnings’. This PC will be used to track the Earnings of the [FLSA] Adjustment. \\Ensure that these [pay components|PAY COMPONENTS] are placed in the appropriate [FLSA] elements (FLSA REG HRS, FLSA REG EARNS and GROSS).
*Create a time code called ‘FLSA ADJUST’. This time code should be tied to the [pay component|PAY COMPONENTS] created in the previous step.
*In [IDWR] for the appropriate work rule, such as HOURLY 9-80, setup the time rule called FLSA_ADJUST

The key attributes for creating the time rule are :
*[From Time|FROM_CLOCK_TIME] - the time of day when the [FLSA] period ends
*[Day|DAY_OF_WEEK] - the day of the week when the [FLSA] period ends
*[Time Code|TIME_CODE] - used for creating the offsetting entries to get the worked time into the correct [FLSA] period. The FLSA ADJUST time code created in the earlier steps should be defined here.
*[Target Time Code Sets |DTCS_ID_TARGET] - FLSA ADJUST HRS (The time code set should contain any time that can contribute to [FLSA], such as worked or leave time). At a minimum, regular hours should be included in this time code set.

When the [FLSA] end date is the last day of the pay period, the negative adjustment will be applied in the current pay period. When the next pay period time sheet is processed, the time rule applies the positive entry on the first day of the pay period.

Other time rules should not target this time code. If the [FLSA] adjustment time code is not targeted then they will not be affected.

!FLSA ADJUST Example

*Employee works a 9/80 calendar
*Pay Period Start: 9-Oct-2016
*Pay Period End: 22-Oct-2016
*Employees clock IN and OUT for lunch
*During the first week of the pay period, the employee works as follows:
*Week 1: Monday to Thursday, EE works 9 hours/day; On Friday, EE works 8 hours/day
*Week 2: Monday to Thursday, EE works 9 hours/day; On Friday, EE is off
*FLSA Period Ends on Friday October 14th, 2016
*The Timesheet Entries tab will display the regular time for the week. The result of the time rule will be visible on the ‘View Audit’ and ‘Totals’ tab of the IPTS form.
*In this example, the FLSA period ends on Friday October 14th, 2016
;Time Sheet Entries
||Date||Start Time||End Time||Time Code||Value
|10-Oct-2016|07:00|12:00|Reg Hrs|5.00
|10-Oct-2016|13:00|17:00|Reg Hrs|4.00
|11-Oct-2016|07:00|12:00|Reg Hrs|5.00
|11-Oct-2016|13:00|17:00|Reg Hrs|4.00
|12-Oct-2016|07:00|12:00|Reg Hrs|5.00
|12-Oct-2016|13:00|17:00|Reg Hrs|4.00
|13-Oct-2016|07:00|12:00|Reg Hrs|5.00
|13-Oct-2016|13:00|17:00|Reg Hrs|4.00
|14-Oct-2016|08:00|12:00|Reg Hrs|4.00
|14-Oct-2016|13:00|17:00|Reg Hrs|4.00

Mon Oct 10th - Total Hrs Worked = 9\\
Tue Oct 11th - Total Hrs Worked = 9\\
Wed Oct 12th - Total Hrs Worked = 9\\
Thur Oct 13th - Total Hrs Worked = 9\\
Fri Oct 14th - Total Hrs Worked = 8

Total Hours Worked = 44 hrs

When the time rule is applied, the following entries are created and are visible on the VIEW AUDIT tab of the time sheet.

Note: For the time above, the FLSA cutoff period (e.g. 12:00pm) is coded against the time code FLSA ADJUST as a negative amount for the day of the week when the FLSA period ends (e.g. Friday October 14th, 2016). The amount of time from the cutoff period (12:00pm) to the end of the shift/time the employee clocks OUT (13:00pm-17:00) is four hours. Therefore the system will move the time from one day (14-Oct-2016) and adds it to the next day (15-Oct-2016).

;Time Rule Calculations
||Date||Start||End||TC||Value
|14-Oct-2016|13:00|17:00|FLSA ADJUST|-4.00
|15-Oct-2016| | |FLSA ADJUST|4.00

The system will automatically adjust the FLSA hours from one day to the next (e.g Negative four hours from Oct 14th 2016 and positive four hours on Oct 15th 2016)

When the timesheets are brought into IPPH, the FLSA adjustment hours are coded against the correct date.
