MANAGE OPEN ENROLLMENTS#
The open enrollment control record generated by UBOE is visible in IBOE.
This screen will display all current and historical open enrollment periods in the system. The Benefit Administrator would use this screen to keep track of the Open Enrollment period. Here they can extend or reduce the Open Enrollment period. The Event Type and Open Enrollment Type values cannot be changed.
Open Enrollment Periods
- Election Opened
- This date indicates the start of the open enrollment period. Employees will not be able to access the Open Enrollment prior to this date.
- Election Closed
- This date indicates the last day of the open enrollment period. Employees will not be able to make changes to their elections after this date.
- Entity
- This field is populated with the Entity the open enrollment was created for.
- Event Type
- The type of event used to generate the open enrollment will be displayed here. This will default in from IBET.
- Description
- The description of the event will display here, it will default in from IBET for the Event selected. If the description was overridden in UBOE, the overridden description will display instead.
- OE Status
- The Open Enrollment Status will be displayed here. This field is tied to the lexicon X_BE_OE_STATUS.
- Coverage Effective
- The date to be used as the Coverage Effective date will be displayed here.
- Coverage Expiry
- An expiry date may be populated here for the Coverage date.
- Eligibility Effective
- The Eligibility Start date may be overridden here or it may be left blank for the benefit components to calculate.
- Eligibility Expiry
- The Eligibility End date may be overridden here or it may be left blank for the benefit components to calculate.
- Premium Effective
- The Premium Start date may be overridden here or it may be left blank for the benefit components to calculate.
- Premium Expiry
- The Premium End date may be overridden here or it may be left blank for the benefit components to calculate.
- Open Enroll Type
- The type of Open Enrollment is displayed here. This field is tied to the lexicon X_BE_OE_TYPE.
- Individual OE for
- This field indicates which employee is associated to the event and thus spawned an open enrollment period. This is only displayed for ad Hoc and Life/Work Events.
- Open Enrollment URL
- This field is populated with the URL for the Event from IBET.
- Open Enrollment Text
- If text was provided in the Event Type Text field in IBET, it will default in here.
Open Enrollment Details#
Employees tab#
Under this tab is a list of employees who are participating in the enrollment showing the overall status of their enrollments. If an employee or plan were missed for the open enrollment they can be manually added here.- Person
- This field indicates the person code and name of the employees partaking in the Open Enrollment.
- Employee Open Enrollment Stage
- The stage of the employee's open enrollment will display here. This field is tied to the lexicon X_BE_OE_ELECTION_STAGE.
- Total Plans
- The total number of plans and plan sets in the open enrollment that the employee is eligible for.
- To Be Decided
- The total number of plans and plan sets in the open enrollment that the employee has not made a decision for.
- Declined
- The total number of plans in the employee's open enrollment with the decision of 'Declined'.
Enrollment Plans tab#
This tab indicates the plans and plan election sets involved in the open enrollment period. The Election Required toggle can be checked on or off overriding the setup defined in IBET.- Plan Election Set
- If there are plan election sets tied to the event type the Open Enrollment was generated for, they will be displayed here.
- Plan
- This field displays the plan codes that are included in the open enrollment.
- Election Required
- This is used to force the employee to elect a coverage from a plan. This toggle will default as checked ON if the plan’s participation rule is ‘Required’ or if the participation rule was overridden to Required for the event in IBET. For Plan Election Sets, if one plan in the set has ‘Required’ defined as the participation rule, then the toggle will be checked ON. This can be used to override the Participation rule for Open Enrollments by selecting or unselecting the toggle.
